COMPANY · SECURITY & DATA HANDLING

Understand how your data and reports are handled.

What Prooflin works with, how Workspace permissions control member access, and what becomes available to clients or the public. That happens only when you choose to share a report.

  • Not public by defaultRunning an audit does not make your uploads or draft reports public.
  • Reviewed before deliveryEvery report starts as a draft that you read, edit, and finalize.
  • Shared on purposeA report reaches clients or the public only when you publish it or send its PDF.

01 · INPUTS

What Prooflin processes

Prooflin works with the material you supply for an audit. It comes in four kinds.

  • Website pages

Publicly reachable pages you supply for review, by URL, sitemap, pasted list, or CSV.

    https://… · sitemap.xml · urls.csv

  • Design images and PDF pages

Images you upload, and the PDF pages you select, for a Design & Creative Audit.

PNG · JPG · WebP · selected PDF pages

  • Campaign data

Exports, screenshots, and figures you enter yourself for an Ad Campaign Report.

    CSV · XLSX · PDF · screenshots · figures

  • Business context and your edits

Details you add to shape a report, such as its audience or main goal, and the changes you make while reviewing it.

    Context fields · draft edits

PROOFLIN DOESN’T CONNECT TO

  • Private or members-only website areas
  • Ad accounts
  • Analytics accounts
  • Design-tool accounts

SUPPLY ONLY WHAT YOU MAY USE

Provide material you are authorised to use for the audit. Leave out sensitive information the report doesn’t need, such as personal customer details.

02 · ACCESS

Workspace access

A Workspace groups its Projects, files, reports, team, and plan. Workspace permissions control member access, and each Workspace is separate from every other. What a member can do depends on their role and on what the Workspace’s plan includes.

ONE WORKSPACE HOLDS

  • Projects
  • Files
  • Reports
  • Team
  • Plan

Runs the Workspace. Each Workspace has one Owner.

  • Everything an Admin can do
  • Changes the plan, billing, and payment method
  • Manages custom domains
  • Invites Admins and can transfer ownership

Sensitive actions, such as publishing, changing billing, or managing domains, are limited by role and by plan.

03 · SHARING

Private inputs. Deliberate sharing.

Running an audit does not make your uploads or draft reports public. A report reaches clients or the public only through two deliberate actions: publishing a hosted report, or exporting and sending a PDF. Choose a stage to see who can open it.

WORKSPACE MEMBERS

CLIENTS OR THE PUBLIC, WHEN YOU SHARE

Source inputs

WHO CAN OPEN IT
Workspace members, according to their role and Workspace permissions. Relevant inputs are processed to provide AI analysis.
HOW IT GETS THERE
You upload files, or add pages and figures, when you set up an audit.
HOW SHARING STOPS
Inputs aren’t published with a report, so there is nothing to stop. Raw uploads and intermediate processing material follow their own retention schedule.

Publishing makes the selected report snapshot and its report-safe assets available through the hosted report. It doesn’t publish the rest of the Workspace, its other reports, or the source uploads behind the report.

04 · HOSTED REPORTS

Hosted report controls

Hosted reports are available from Professional, and an Owner or Admin manages them. Each control does one thing, and each has a limit worth knowing.

  • Publish

DOESPuts a fixed snapshot of an eligible finalized report at its own link, with its report-safe assets.

DOESN’TPublish the rest of the Workspace, its other reports, or the source uploads.

  • Password protection (optional)

DOESAsks visitors for a password before the report opens. Share it separately from the link.

DOESN’TStop someone who has both the link and the password from passing them on.

  • Hide from search engines

DOESAsks search engines not to list the report (noindex).

DOESN’TMake the report private. Anyone with an otherwise accessible link can still open it.

  • Republish an updated snapshot

DOESReplaces the snapshot at the same link with a newer finalized version.

DOESN’THappen on its own. Editing a draft doesn’t change the published snapshot.

  • Unpublish

DOESStops access through the hosted link, which then shows that the report is no longer available.

DOESN’TRecall PDFs or copies that were already shared.

  • Custom domain (Agency and Scale)

DOESServes eligible hosted reports on a subdomain you control.

DOESN’TApply to the Prooflin app or sign-in, which stay on Prooflin’s domain.

STEP BY STEP

Publish, update, and take down hosted reports.

From an ad campaign, the Client Ad Campaign Report is the one you can publish. The Ad Campaign Performance Audit is written for your team and can’t be published as a hosted report.

05 · AI

AI processing and review

Relevant inputs are processed to provide AI analysis. Prooflin uses AI to analyse what you supply and to prepare report content, such as findings, priorities, recommendations, and wording. See our Privacy Policy for processing and provider details.

That output can be incomplete or wrong. Every report stays a draft until you have read it, edited what needs changing, and finalized it. Where information wasn’t supplied, the report says so instead of estimating it.

  1. Your inputsThe relevant pages, files, or figures you supplied.
  2. AI analysisPrepares findings, priorities, recommendations, and wording.
  3. Draft in your WorkspaceNot public. Workspace permissions control member access.
  4. Your reviewYOURead it, edit what needs changing, and finalize.
  5. Delivery, when you chooseExport a PDF or publish a hosted report.

06 · RETENTION

Retention and deletion

Different material follows different schedules. The Privacy Policy sets out the periods and deletion details; in summary:

  • Raw uploads and processing materialRaw uploads and intermediate processing material follow a retention schedule separate from saved reports. See our Privacy Policy for retention periods and deletion details.
  • Saved reports and Workspace recordsSaved reports and active Workspace records are kept while the Workspace is active, so you can review, export, or republish them.
  • Published copiesUnpublishing stops access through the hosted link. PDFs and copies already shared aren’t affected.
  • Operational and legal recordsLimited records, such as billing, usage, and security records, can be kept longer where the law or the running of the service requires it.

LIMITSDeletion runs on a schedule, so it isn’t instant in every system. Copies someone else holds, such as a PDF you sent, are outside Prooflin’s control.
